Duties and Responsibilities
of
Concerned Parties for Meetings

I. Preamble

When the Ohio Section holds a meeting at a host institution, it is the Section's meeting. Therefore, it is the Section, through its various committees, that determines program content, attendance policy, financial policy, etc. The host institution has the responsibility to provide the physical arrangements for the meeting.

II. General Policies

  1. The Executive Committee selects the meeting site and the dates of the meeting. Dates are decided in consultation with the host institution. The Fall meeting is usually held in October and the Spring meeting in April.

  2. The Program Committee:
    1. arranges for invited speakers,
    2. calls for papers,
    3. arranges the program and has it printed in the \news,
    4. coordinates with the host institution,
    5. obtains films,
    6. obtains presiders for sessions of contributed papers, moderators for swap sessions and panel discussions,
    7. is responsible for printing the program,
    8. makes arrangements with the host institution to accommodate out-ot-state speakers, and
    9. takes charge of anything else needed for the meeting with the exception of those items specifically mentioned in parts C and D below.

  3. The Committee on Student Members (CONSTUM) is in charge of the student paper sessions at the Spring meeting, including arranging for student speakers, providing for their food and lodging, and printing the program for their sessions.

  4. The host institution:
    1. names a person-in-charge to coordinate matters with the Section,
    2. provides such lecture rooms and meeting rooms as are necessary,
    3. provides overhead projectors, slide projectors, and microphones as necessary, (Any other equipment, such as computers, or computer projection equipment, must be provided by the speaker.)
    4. provides refreshments for Friday afternoon and Saturday morning,
    5. arranges for the banquet on Friday evening and the social get-together on Friday evening,
    6. handles registration,
    7. provides the newsletter editor with directions and a map, the banquet menu, and reservation forms, and a list of hotels and motels,
    8. arranges for book exhibits, including an MAA book exhibit, [N.b., moneys collected are paid to the Section], and
    9. provides such other physical arrangements as are requested by the Section.

  5. Thanks
    1. The Section President thanks all student speakers by letter.
    2. The Program Chair thanks all non-student speakers by letter.
    3. The Section President thanks the host institution by letter, specifically mentioning the local person-in-charge.

III. Financial Policies

  1. The Section pays all expenses plus a $100.00 honorarium to invited speakers from outside Section boundaries.
  2. The Section pays for the banquets of all invited speakers, both from inside and from outside Section boundaries.
  3. Other than the exception in part B, above, the Section pays no expenses or honoraria to anyone from within the Section boundaries.
  4. The host institution pays for the refreshments and the party. The Section will contribute $300.00, plus half of what is collected from exhibitors in excess of $300.00, to the host institution toward these costs.
